9 Instantly alternatives for cold email teams

9 Instantly alternatives for cold email teams — GTM Street

The strongest Instantly alternatives solve a specific problem with your current setup. QuickMail makes shared access cheaper for a small campaign, while Reply.io puts email and LinkedIn in one sequence builder. We still prefer Instantly for experienced cold email teams, so a switch should buy you something you need or remove a recurring cost.

Start with the feature you need to change

  • Compare lemlist Email when several people need one shared sending allowance and inbox.
  • Choose Smartlead when client access and assigning replies are central to your agency.
  • Start with QuickMail when you need another user but only a modest prospect allowance.
  • Compare Reply.io when LinkedIn and calling need to sit beside email in one product.

How the main features compare

Mailbox rotation distributes sending across connected addresses. It doesn’t create additional contact capacity. Team access and contact allowances have their own limits, even on plans with unlimited mailbox connections.

1. lemlist

Best for: Email teams that want several people to work inside one subscription.

lemlist brand artwork

For a team that needs shared email access, lemlist Email costs US$69 a month with monthly billing. It includes unlimited users and sending accounts with a unified inbox. Everyone shares the 50,000-email monthly allowance, so adding a colleague doesn’t require another paid user.

We find lemlist a little clunky for daily cold email work, which is why Instantly leads our broader cold email software ranking. Still, lemlist Email saves US$28 a month against Instantly Hypergrowth. That’s a worthwhile option for a team comfortable with its interface.

Choose the channel plan before moving your campaigns. lemlist Multichannel costs US$109 per user per month on monthly billing, and changing plan families requires a new team with migration or help from support. Starting on Email and adding LinkedIn later involves more than turning on another feature.

2. Smartlead

Best for: Agencies that need to separate client access and distribute reply ownership.

Smartlead brand artwork

Smartlead earns its place through client access and reply ownership. You can assign a prospect to the person who should continue the conversation in Master Inbox. With restricted client access, the client can inspect the relevant campaigns and accounts without seeing everyone else’s.

Smartlead Pro costs US$94 a month with monthly billing for 30,000 stored contacts and 90,000 monthly emails. White-label client workspaces add US$29 per client per month. The base subscription is only US$3 less than Instantly Hypergrowth, so there is little reason to move for that saving alone. Choose Smartlead when assigning replies and separating client access would make your agency easier to run.

3. Saleshandy

Best for: Teams that regularly buy contact data as well as an email sender.

Saleshandy brand artwork

If buying contact data is a regular expense, Saleshandy’s included Lead Finder credits deserve attention. A verified work email uses one credit and unsuccessful searches use none. Saleshandy Starter includes 1,500 finder credits each month for US$41 a month with monthly billing.

Saleshandy Starter supports one user with a unified inbox and 2,000 active prospects. Its 6,000-email monthly allowance gives a solo seller room to contact the list and follow up from the same product.

Adding a colleague requires Saleshandy Pro at US$99 a month on monthly billing. Pro includes ten users and 4,000 monthly finder credits. That’s US$2 more than Instantly Hypergrowth, so the benefit for a team is the included prospecting. If you already have the contact data you need, Saleshandy’s team plan offers no subscription saving over Instantly.

4. QuickMail

Best for: Two or more colleagues who need shared email work without a large contact allowance.

QuickMail brand artwork

QuickMail is our clearest pick when a colleague needs access to a small email campaign. Its Starter plan costs US$49 a month with monthly billing and allows unlimited users. That’s US$2 above Instantly Growth, which doesn’t let you invite teammates.

Both entry plans allow 1,000 contacts and 5,000 monthly emails. QuickMail also includes unlimited sender accounts and MailFlow warm-up. Its inbox rotation keeps follow-ups with the address that sent the first message, even when several mailboxes share a campaign.

For a larger list, QuickMail Growth costs US$99 a month with monthly billing and includes 25,000 contacts with 100,000 monthly emails. At that size it costs US$2 more than Instantly Hypergrowth. Starter’s combination of shared access and a modest allowance is the reason to switch for less.

5. Snov.io

Best for: Small sales teams that want contact preparation and a sales CRM alongside email sequences.

Snov.io brand artwork

Snov.io gives a team without a customer relationship management system somewhere to track prospects after outreach begins. Its CRM and campaign builder sit alongside the email finder. Snov.io Starter costs US$39 a month with monthly billing and includes unlimited users with 1,000 credits for finding or verifying contacts.

The sending allowance is separate from those data credits. Starter covers 5,000 recipients, with each person counting once per billing period even if they receive several follow-ups.

For the six-mailbox example below, warm-up is the catch. Starter has only three warm-up slots despite unlimited connections. Warming all six at once requires Snov.io Pro at US$99 a month on monthly billing, an extra US$60. Starter is cheaper for shared access, but that saving disappears if every mailbox needs warm-up simultaneously.

6. Reply.io

Best for: Salespeople who want email and LinkedIn in the same sequence builder.

Reply.io brand artwork

Reply.io is a strong choice for moving email and LinkedIn into one sequence builder. Its Multichannel plan also includes calling and SMS capabilities. If coordinating those steps is why you’re leaving Instantly, this plan supplies them in one subscription.

Reply.io Multichannel costs US$99 per user per month with monthly billing and includes five mailboxes per user. Three paid users therefore cost US$297 a month before additional usage or services. The cheaper Email Volume plan starts at US$59 per user per month for 1,000 active contacts, with LinkedIn sold separately. Use Multichannel’s per-user price when weighing a move against keeping Instantly and adding a separate LinkedIn platform.

7. Salesforge

Best for: Sellers who want AI-generated personalization close to email and LinkedIn sending.

Salesforge brand artwork

Salesforge Pro adds a LinkedIn sender and credits for prospect-specific writing at almost the same price as Instantly Growth. Its US$48 monthly subscription includes one user with 1,000 active contacts and 5,000 monthly emails. Primebox gathers replies and Warmforge supplies mailbox warm-up. For a solo seller who wants both channels with help drafting messages, that’s a useful package.

Shared access requires Salesforge Growth at US$96 a month with monthly billing, an extra US$48. Growth allows unlimited users and LinkedIn senders, while social actions and personalization have separate credit allowances. Adding another sender doesn’t increase those allowances.

8. Woodpecker

Best for: Sellers who need follow-up paths based on prospect data.

Woodpecker brand artwork

Woodpecker is a good option when the next email should depend on what you know about a prospect. Its custom-field conditions can check whether a field is empty or whether it matches or contains specific text. The campaign then uses that information to choose a follow-up path.

For a focused list, the USD pricing calculator offers 500 contacted prospects at US$35 a month with monthly billing. That includes 8,000 emails and two warm-up accounts. Reusing a prospect in another campaign can count them again, so the same 500 people won’t necessarily fit if you contact them through several campaigns. Woodpecker suits a smaller audience with useful differences in its follow-ups; it covers fewer prospects than Instantly Growth at the quoted price.

9. Hunter

Best for: A seller who wants email finding and a short sequence without a broad outreach stack.

Hunter brand artwork

Hunter’s finding and sending tools share one product, with up to five follow-ups in a sequence. You can begin on the free plan with one connected account and up to 500 recipients per sequence.

Hunter Starter costs US$34 a month equivalent, billed as US$408 annually. It includes three connected accounts and up to 2,500 recipients per sequence. Account rotation requires at least two of those connections. That makes Starter a practical option for a small mailbox setup, but it won’t accommodate a large pool of Instantly sending accounts.

Should you upgrade Instantly Growth or switch?

Imagine you run one workspace with six existing mailboxes and 1,000 verified prospects. A colleague now needs to help answer replies. You plan four emails per prospect within a month, so the sequence requires at most 4,000 sends before replies stop some follow-ups.

Instantly Growth at US$47 a month can cover that sending allowance, but team invitations and replying through Unibox require Hypergrowth. The upgrade costs another US$50 a month. Compare that upgrade with the plan you would actually buy elsewhere.

RankToolPlan for this two-person email exampleMonthly software costDecision
4QuickMailStarter, billed monthlyUS$49Small shared allowance with team access
1lemlistEmail, billed monthlyUS$69Larger shared allowance of 50,000 emails
7SalesforgeGrowth, billed monthlyUS$96Second user requires the higher plan
3SaleshandyPro, billed monthlyUS$99Includes ten users and prospecting credits

For this two-person campaign, QuickMail saves US$48 a month against Instantly Hypergrowth at US$97. lemlist Email saves US$28. Those totals cover the outreach subscriptions; the example assumes you already have the mailboxes and verified contacts.

QuickMail is our pick for this small shared campaign. An established team already using Instantly Hypergrowth has a different decision: whether saving US$48 each month is worth rebuilding its campaigns and learning another inbox. A lower subscription is less compelling when the current setup already works well.

Keep contact status when you move campaigns

Instantly’s uploaded-contact allowance doesn’t reset each month, and contacts in paused campaigns still count. An old campaign can therefore occupy capacity even when it isn’t sending. That doesn’t mean those contacts should all enter a fresh campaign on another platform.

Separate contacts who haven’t started from those already in a sequence. Preserve replies and suppression records, then decide which unfinished prospects should continue and at which step. Treat a CSV import as a contact transfer unless the destination explicitly preserves the campaign state you need.

For LinkedIn, Instantly’s Aimfox integration transfers leads between products. That gives you another option before replacing email software solely to add a channel. The LinkedIn automation tools guide compares the separate platforms you could pair with an email sender.

Frequently asked questions

What is the best free Instantly alternative?

Hunter is a practical option for a small email campaign. Its free plan supports one connected account and up to 500 recipients per sequence. Finding new email addresses still draws from a limited data-credit allowance, and the free plan doesn't replace Instantly's multi-mailbox setup.

Which Instantly alternatives suit agencies?

Smartlead is useful when clients need restricted campaign access and your team needs reply assignment. Pro costs US$94 a month with monthly billing, with white-label client workspaces adding US$29 per client per month. Count the client workspaces you need before comparing it with Instantly's separate workspace subscriptions.

Is lemlist cheaper than Instantly?

lemlist Email costs US$69 a month with monthly billing, compared with Instantly Hypergrowth at US$97. Both can support team email work. Instantly Growth is cheaper at US$47 but restricts team invitations and Unibox replies, while lemlist's LinkedIn-capable Multichannel plan uses different per-user pricing.

Will switching tools improve deliverability?

Changing software alone doesn't establish that more messages will reach an inbox. Mailbox configuration and the quality of your recipient list still matter. Warm-up doesn't guarantee delivery either.

Honorable mentions

Mailshake

Mailshake brand artwork

Mailshake suits a salesperson working through replies in Lead Catcher. Its Email Outreach plan costs US$49 per user per month with monthly billing. It is a useful option when reply ownership matters more than retaining Instantly’s unlimited-mailbox model.

GMass

GMass brand artwork

GMass is an alternative for people who want to send from Gmail. Premium costs US$39.95 a month for an individual subscription and includes automated follow-ups. MultiSend mailbox rotation requires the US$59.95 Professional plan, so Premium isn’t the comparison for rotating several sending accounts.
